Cancellation policy

1. Cancelling an apparel order before it ships

Email info@hereforthewomensrace.org.za with your order reference as soon as you can. If the parcel has not yet been handed to the courier, we cancel it and refund you in full, including delivery, within five working days. There is no charge for cancelling before dispatch.

If it has already shipped, treat it as a return under the refund policy: you have seven days from delivery to cancel without giving a reason.

2. Cancelling an event entry

Section 17 of the Consumer Protection Act 68 of 2008 lets you cancel an advance booking, and lets us charge a reasonable cancellation fee that reflects how close to the event you cancel and how likely we are to resell the place.

• More than 30 days before the event: full refund, less a 10% administration fee.
• 8 to 30 days before: 50% refund, or a free transfer of your place to another runner or rider.
• 7 days or fewer before: no refund, because the field, timing, medical cover and race packs are already committed. You may still transfer your place to someone else at no charge.
• Injury or illness with a medical certificate: a credit for the same event in the following season, or for another event in our calendar, valid twelve months.

To transfer a place, email us the entry reference and the new participant's name, contact details and emergency contact at least 48 hours before the event.

3. If we cancel or postpone an event

• We cancel outright: you choose a full refund of the entry fee or a credit for the rescheduled date.
• We postpone: your entry moves to the new date automatically. If the new date does not suit you, tell us within 14 days of the announcement and we refund you in full.
• Events beyond anyone's control, such as extreme weather, fire, flood, a permit withdrawal or a public-health direction: we refund the recoverable portion of the entry fee and publish what was and was not recoverable. We will not keep money we did not have to spend.

4. If we cancel an order

We may cancel an order where the item is out of stock, where a price or description was obviously wrong, or where a payment cannot be verified. We tell you why and refund the full amount within five working days. We do not charge you in that case.

5. Grant and partner applications

You may withdraw a grant, PBO or partner application at any time before a decision by emailing us; nothing is charged for applications, so nothing is refunded. If a grant has been awarded and you can no longer take up the opportunity, tell us as soon as possible so the funds can go to another athlete in the same cycle.

6. Newsletter and communications

Every email we send carries an unsubscribe link, and it works immediately. You can also email us and we will remove you. Unsubscribing does not cancel an order or an entry.

7. How to reach us

Email info@hereforthewomensrace.org.za, Monday to Friday, 09:00 to 17:00 South African Standard Time (UTC+2). We reply within two working days. Cancellations take effect when we receive them, not when we reply, so the date of your email is the date that counts.
